How to Write a Cover Letter Explaining Tentative Flight Reservations

Explaining Flight Reservations in Your Visa Cover Letter

A well-structured Cover Letter (Personal Statement) is your direct voice to the consular caseworker. It allows you to present your travel logistics, explain your financial backing, and clarify that your flight and hotel bookings are tentative reservations in line with consular advice.

Sample Cover Letter Phrasing for Flight Bookings

"In accordance with the guidelines published by the Embassy advising applicants against purchasing non-refundable air tickets prior to visa approval, I have attached a confirmed round-trip flight reservation (PNR: X7YW2M) operated by [Airline]. Upon the favorable grant of my visa, I will finalize the ticketing of these exact flights."

Why Consular Officers Appreciate This Transparency

Stating clearly that you have provided an authentic reservation demonstrates that you respect consular guidelines, have planned your travel responsibly, and have avoided unnecessary financial risk. It eliminates any ambiguity regarding whether the document is a fully issued e-ticket or a confirmed reservation.

Essential Elements to Include in the Letter

• Table summarizing your itinerary: Dates, Flight Numbers, Cities, and Hotel Names.
• Clear explanation of the trip's purpose (tourism, cultural sightseeing, conference).
• Summary of attached financial documents proving your ability to fund the journey.
